Role Overview
AI for Vietnam is seeking a motivated HR Coordinator to support the implementation of our people strategy across key HR functions — including talent acquisition, onboarding, employer branding, and people operations.
In this role, you will be responsible for the day-to-day execution of HR activities that enable our globally distributed Vietnamese volunteer team to work effectively and stay engaged.
You will collaborate closely with the HR Manager and internal stakeholders across teams to ensure recruitment, onboarding, and people operations are delivered consistently in a fully remote, non-profit environment.
Depending on your strengths and career interests, you will be assigned to specific HR functions after onboarding, with opportunities to rotate into other functions after a minimum of six months in the role.
Key Responsibilities
- Manage the end-to-end recruitment logistics by posting job openings, screening initial applications, and scheduling interviews between candidates and hiring managers.
- Execute the onboarding and offboarding procedures by preparing welcome training packages (with the HR team), conducting orientation briefings, and managing the digital access permissions for volunteers.
- Administer the central HR database and documentation systems to ensure all volunteer records, agreements, and other HR data are accurate and up-to-date.
- Execute employer branding and internal learning and development campaigns by planning and executing team-building events and learning and development series.
- Track HR metrics and prepare reports for HR leadership and Board of Management (BOM).
- Identify process bottlenecks and suggest practical improvements to increase the efficiency of our HR workflows.
- Collaborate cross-functionally to strengthen organizational culture and team engagement.
Qualifications
- Demonstrate a profound interest in Human Resources and a genuine passion for building a high-performing talent ecosystem in the AI sector. We welcome proactive students or young professionals who are eager to learn, even if they lack formal HR experience.
- Excellent communication skills in both English and Vietnamese.
- Good project management and organizational skills.
- Attention to detail when managing sensitive data and large scale projects in a fast-paced environment.
- Be a self-starter who takes full accountability for following up on tasks without constant supervision.
- Experience with Google Workspace, Slack, Coda, or similar remote collaboration tools.
- Flexibility to accommodate meetings in different time zones and to adapt to the fast-changing needs of the organization
Preferred qualifications
- Possess a formal academic background or professional experience in Human Resources, Communications, or Business Administration
- Have prior experience working within a startup, NGO, or volunteer-led project where adaptability and resourcefulness are key.
- Show familiarity with basic recruitment tools or experience coordinating small-to-medium-scale virtual events.
