Role Overview

We are looking for Project Management Officer Leads (PMO Leads) to oversee project operations, ensure delivery excellence, and support our growing portfolio of initiatives. The primary goal of this role is to translate high-level organizational priorities into a synchronized roadmap of actionable initiatives and ensure that large-scale, complex AI projects are delivered on time, with high quality, and within resource constraints.

This role is ideal for those with 3-7 years of experience in project management and who have managed a team to build tech products.

On a day-to-day basis, you will lead and mentor a team of 4–5 Project Management Officers (PMOs), streamline workflows, resolve cross-project bottlenecks, and continuously refine master timelines to ensure resources are allocated in line with shifting priorities. Beyond tracking tasks, you are responsible for maintaining execution standards and enabling the entire project portfolio to move in unison.

This role reports directly to the Head of Operations and operates in a fast-paced, fully remote, non-profit environment. You will collaborate closely with internal teams, including Marketing, Engineering/Product, HR, Finance, and, depending on the project, external partners.

Key Responsibilities

  • Convert organizational priorities into actionable roadmaps with clear milestones, dependencies, and ownership.
  • Oversee portfolio-level execution, proactively identifying interdependencies, capacity conflicts, and timeline risks.
  • Lead and coach a team of 4–5 PMOs, ensuring consistent standards for planning, documentation, reporting, and stakeholder communication.
  • Define and maintain execution standards (templates, cadences, quality benchmarks) and enforce adoption across the PMO function.
  • Run weekly operational cadences: cross-project syncs, risk reviews, change-control decisions, and escalation tracking.
  • Partner with technical leads to scope projects, align on delivery feasibility, and secure cross-functional commitments.
  • Provide transparent reporting to the Head of Operations and leadership: risks, mitigations, resourcing needs, and timeline shifts.
  • Drive continuous improvement by iterating processes, resolving systemic bottlenecks, and reducing operational friction.
  • Coordinate resource allocation (primarily volunteers and internal capacity; limited internal budget allocation).

Qualifications

  • 3–7 years of experience in project or program management, with accountability for delivering results, not just task tracking.
  • Demonstrated experience leading teams or managing junior team members to deliver complex projects.
  • Strong communication in English & Vietnamese, with the ability to influence without authority and manage stakeholder expectations.
  • Structured problem-solver with the ability to break ambiguity into actionable plans.
  • High ownership and reliability, able to operate with limited supervision while keeping leadership informed.
  • Portfolio coordination experience strongly preferred (multiple workstreams, multi-team orchestration).
  • Comfortable working across time zones (Vietnam evenings / U.S. mornings).

Preferred Qualifications

  • Nonprofit or startup experience a plus; comfort working in ambiguity required.
